When you use DumpMyGym, we collect the following personal information that you provide directly:

• Name — used to identify you on the cancellation letter
• Email address — used for order confirmations, tracking updates, and support communications
• Phone number (optional) — included on the letter if provided, for the gym to contact you
• Mailing address — used as the return address on your cancellation letter
• Gym membership number (optional) — included on the letter to help the gym identify your account

We also collect basic usage data such as pages visited, browser type, and device information through standard server logs. We do not use third-party analytics or advertising trackers.

2. How We Store Your Data

Your personal data is stored in Supabase, a database platform hosted on Amazon Web Services (AWS) infrastructure. Data is encrypted at rest and in transit using industry-standard encryption protocols.

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.

3. Payment Information

All payment processing is handled by Stripe, a PCI DSS-compliant payment processor. We never receive, process, or store your credit card number, CVV, or full card details on our servers.

Stripe may retain payment information in accordance with their own privacy policy. We only receive confirmation of payment status and a truncated card identifier (e.g., last four digits) for your order records.

4. How We Share Your Data

We share your name and mailing address with Lob, our certified mail printing and delivery provider, solely for the purpose of printing and mailing your cancellation letter through USPS. Lob processes your data in accordance with their privacy policy and data processing agreements.

We use MailerSend to send transactional emails (order confirmations, tracking updates). Your email address is shared with MailerSend for this purpose only.

We do not sell, rent, or share your personal information with third parties for marketing, advertising, or any purpose other than fulfilling our service.

5. Data Retention

• Draft data — incomplete or abandoned form submissions are automatically deleted after 30 days
• Completed order data — retained for 2 years for legal compliance, accounting, and dispute resolution purposes
• Payment records — retained in Stripe in accordance with financial record requirements

6. Your Rights & Data Deletion

You may request deletion of your personal data at any time by emailing support@dumpmygym.com. We will process your request within 30 days, subject to any legal obligations that require us to retain certain records.

You also have the right to request access to the personal data we hold about you, correct inaccurate data, or restrict processing of your data. Contact us at the email above to exercise any of these rights.

7. Cookies

We use a minimal number of cookies, strictly for functional purposes:

• Session cookie — maintains your form state as you complete the cancellation wizard, so your progress is not lost
• Theme preference cookie — remembers your light/dark mode selection

We do not use tracking cookies, advertising cookies, or any third-party cookie-based analytics.

Our service integrates with the following third-party providers, each of which has their own privacy policy governing their use of your data:

• Supabase — database hosting and authentication
• Stripe — payment processing
• Lob — certified mail printing and delivery

We comply with applicable data protection laws, including the California Consumer Privacy Act (CCPA) and the General Data Protection Regulation (GDPR) where applicable.
